Cancellation Policy

We reserve specific time slots exclusively for each client. When an appointment is missed or canceled without adequate notice, that time cannot be used by another person who needs care. To help support as many people as possible, this policy applies to clients that have commercial insurance and are self-pay, this does not apply to those with Medicare or Medicaid.

1. Standard Notice Period
– Please provide at least 24 hours advance notice to cancel or reschedule an appointment.
– Notice must be given by calling our office or contacting your clinician directly.
An automated reminder texts are a courtesy; failing to reply to a reminder does not replace direct communication.

2. Definitions and Fee Schedule
– Late Cancellation: Canceling an appointment with less than 24 hours’ notice incurs a $40.00 fee.
– No Show: Failing to arrive for a scheduled appointment or failing to notify the office within 24 hours of the sessions start time, results in a $40.00 fee.
– Late Arrivals: Arriving more than 15 minutes late without notice is treated as a no show ($40.00 fee.) If you arrive late but within 15 minutes, your session will still end at the regular scheduled time.

3. Payment of Fees
– Missed appointment and late cancellation fees cannot be billed to insurance and are the direct financial responsibility of the client.

4. Exceptions
– We understand that true emergencies happen (such as sudden severe illness, dangerous weather emergencies, or car accidents.) Fee waivers for genuine emergencies are evaluated on a case-by-case basis at the therapist’s discretion.

5. Repeated Absences
– Accumulating three missed appointments (including late cancellations and no shows,) within a six-month period may result in the termination of therapeutic services and discharge from the practice, provided with written notice and referrals for alternative care.
